Know what to expect after booking from payments to hotels, transport, support, and smooth travel.

As you are about to become a part of the A 2 Z TRIP family, we believe it’s important to explain how our company operates once we receive your advance payment.

Once your booking is confirmed with us and the advance payment is received, our accounts team immediately shares a payment receipt with you. This receipt contains a detailed breakdown of your package cost.

Following this, our booking team begins processing your package and provides you with all relevant details regarding your booking. They will also coordinate with you regarding your remaining payments, including when, where, and how they are to be made.

After your advance payment is confirmed, we assign a dedicated tour coordinator to you. This person will be your main point of contact for everything related to your package. Whether it’s about changes in the itinerary, payment-related queries, or general updates, your coordinator will stay in touch with you throughout the process via phone, email, or WhatsApp.

Hotel Bookings


  • Hotel Selection and Location

A2Z Trip affirms that it has exercised due diligence and care in the selection of hotel accommodations for its clients, prioritizing comfort, hygiene, and safety. While a majority of hotel accommodations offered under our travel programs include private bathing or shower facilities and may be situated within the city centre, it is hereby acknowledged that, based on operational experience and to maintain reasonable tariffs without compromising guest comfort, accommodations may also be located on the outskirts or away from the central areas of the city.


  • Room Category and Substitution

Unless explicitly stated otherwise in the booking quotation or written agreement, the base category room shall be deemed the standard room type reserved for the guest. In the event that the quoted hotel is unavailable on the dates of travel, A2Z Trip reserves the right, without prior notice, to substitute the accommodation with a room of comparable standard in an alternative hotel or to upgrade the room to a higher category in the same or alternative hotel.

Note: Should such an upgrade incur an additional cost, the difference in tariff shall be borne and paid by the client, and A2Z Trip shall not be liable for absorbing or waiving said difference.


  • Amendments and Cancellations

Any request for modification or amendment to the travel itinerary, including changes to travel dates or accommodation, must be communicated to A2Z Trip in writing. Such modifications shall be subject to the availability of the originally quoted or substituted hotels on the newly requested dates.

Amendments are not guaranteed and are considered confirmed only upon written acknowledgment from A2Z Trip. In all such cases, the cancellation policy as stated in the original booking terms shall remain applicable and binding.


  • Hotel Check-In and Check-Out Policy

All passengers are required to adhere strictly to the standard check-in and check-out policies of the hotels arranged through A2Z Trip. Unless otherwise specified by the individual property, the usual check-in time is 02:00 PM (Noon), and the standard check-out time is 10:00 AM.


Guests arriving at the hotel prior to the standard check-in time must note that room allotments will commence only from 02:00 PM onwards. In such cases, "fresh-up" facilities (such as access to common washrooms or waiting areas) may be arranged by the hotel at its discretion, subject to availability. However, full access to the room will not be granted before the official check-in time.


Similarly, guests requiring a late check-out beyond the prescribed time of 10:00 AM must coordinate directly with the hotel. The provision of early check-in or late check-out is entirely at the discretion of the hotel management and is subject to room availability on the requested date.


Any charges incurred for early check-in or late check-out must be settled directly by the guest with the hotel at the time of check-in or check-out, as such services are not included in the standard travel package provided by A2Z Trip. The company shall not be held responsible for securing or covering the cost of early or extended stay unless expressly agreed to in writing prior to travel.


  • Room Configuration, Upgrades, and Facility Availability

Hotel accommodations arranged by A2Z Trip are generally offered in base category room formats, which include twin-bedded, double-bedded setups, depending on the specific requirements outlined at the time of booking.

Should a third occupant be added to the room, an extra bed may be provided. In most cases, this extra bed will consist of a foldable mattress or rollaway bed placed on the floor, as per the hotel’s operational practices. This provision is considered standard across various categories of hotels, particularly within India.


Guests, who prefer enhanced lodging options, such as a suite room, family room, or a room offering a specific view or premium features, may request an upgrade. Such upgrades are subject to availability at the time of check-in or request, and any additional charges incurred must be paid directly by the guest. Similarly, if a guest desires an additional room for any reason during the course of the tour, this too may be arranged subject to availability, and the full cost of the additional room shall be borne by the guest.


It must be clearly understood that the availability of room amenities and features is at the sole discretion of the hotel management. The travel agency (A2Z Trip) does not influence, guarantee, or control the provision of specific room amenities such as toiletries, Wi-Fi, in-room entertainment, minibar services, or room service. These are determined and supplied entirely by the hotel, based on availability, category of room, and internal hotel policy.

Furthermore, guests are advised that in certain regions of India—especially in domestic hill stations and remote areasair-conditioned rooms may not be available, as they are often deemed unnecessary due to the prevailing climate. Similarly, central heating, temperature control systems, and other such facilities may not be operational or provided in all hotels.


The provision, usage, or functionality of air-conditioning, heating, or other room-based utilities remains entirely at the discretion of the hotel, and is influenced by weather conditions, infrastructure capabilities, and regional norms. A2Z Trip shall not be held liable in the event that such facilities are not available or do not meet guest expectations.


  • Liability for Personal Belongings and Additional Hotel Charges

A2Z Trip shall not be held responsible or liable under any circumstances for the loss, theft, or misplacement of personal belongings, valuables, or baggage from hotel premises during the course of travel. Guests are solely responsible for the safety and security of their own possessions throughout their stay.

While many hotels offer Safe Deposit Lockers either in guest rooms or at the front desk, it is strongly advised that travellers store all valuables—such as passports, jewellery, cash, electronics, and important documents—within these lockers at the time of check-in. Items left unattended in guest rooms, common areas, or luggage storage zones are done so at the guest’s own risk, and A2Z Trip shall have no liability in the event of loss or damage.

Furthermore, any damage, defacement, or destruction caused to hotel property—whether wilfully or accidentally—by a guest shall be the sole responsibility of the individual involved. The cost of repair or replacement for such damage shall be payable directly by the guest to the hotel, and A2Z Trip shall not bear any responsibility for settlement or negotiation of such charges.

Guests should also note that certain charges levied by hotels are not included in the standard travel package cost and must be settled directly with the hotel. These may include, but are not limited to:

•       Mini-bar consumption

•       In-room dining or room service

•       Laundry, telephone usage, spa services, and other discretionary personal expenses

All such additional hotel charges are the financial responsibility of the guest and must be cleared at the time of check-out or as required by the hotel’s internal billing policy.


  • Hotel Room Allocation & Floor Preferences

Hotel room numbers and floor levels are assigned directly by the hotel management at the time of check-in and are subject to availability. A2Z Trip does not have control or influence over the specific room number, rooms size, view, or floor assigned to guests. While special requests (e.g., lower floors, adjoining rooms, specific views) may be conveyed to the hotel on behalf of the guest, these are strictly subject to hotel discretion and cannot be guaranteed. No claims or compensation will be entertained for dissatisfaction related to room location, size, view, or floor assignment.


  • Accommodation Policy for Children up to 11 Years of Age

In cases where a child under the age of 12 years is booked on the tour at a special rate without a bed, it is clearly understood that no bed will be provided for the child at any hotel throughout the tour, under any circumstances.

If the tour participant opts to modify the rooming arrangement during the tour—for example, by requesting an additional bed or changing the room type—A2Z Trip shall not be held responsible for facilitating such changes and will not issue any refund or compensation for the same.

Should such a change be permitted by the hotel, and subject to room availability, the participant shall be solely responsible for settling any additional charges directly with the hotel. These changes are outside the scope of the original booking agreement and are considered a private arrangement between the guest and the hotel.

For families with 2 adults and 2 children of similar ages, we offer pricing for one child with a bed and one without a bed/mattress.


  • Hotel Facilities and Services – Subject to Availability

All facilities and services offered at the hotels, including but not limited to the following, are subject to the individual hotel's policies, infrastructure, and availability at the time of check-in:

•       Vegetarian and Non-Vegetarian Meal Options

•       In-House Kitchen Facilities

•       Type of Furniture Provided (e.g., Plastic or Standard Chairs and Tables)

•       Room Service Availability and Hours of Operation

•       Liquor Availability or Bar Services (subject to local laws and hotel licensing)

•       Hot/Cold Water Facilities.

•       Lift/Elevator Services

Guests are advised that A2Z Trip does not guarantee the availability or functioning of these services, as they are managed solely by the hotel. These amenities may vary from property to property and can also be affected by local regulations, technical issues, or operational limitations.

No refund, compensation, or alternative arrangement shall be offered by A2Z Trip in the event that such services are unavailable or not in line with guest expectations.

Travellers are encouraged to verify specific requirements or preferences at the time of booking, so that availability can be checked with the hotel in advance, wherever possible.


Meal Plans


All meal arrangements at hotels are provided as per the specific inclusions confirmed at the time of booking. Meal plans are determined solely by the respective hotel, based on the room type and package offered by the property. The most common classifications are:

•       EP (European plan): Accommodation only, no meals included.

•       CP (Continental Plan): Includes breakfast only.

•       MAP (Modified American Plan): Includes breakfast and one main meal (either lunch or dinner).

•       AP (American plan): Includes breakfast, lunch, and dinner.

Guests are advised that A2Z Trip is not responsible for deciding or customizing any hotel meal plan. Meal services, menu selection, portion size, service format (buffet or set menu), meal timings, and inclusions are determined entirely at the discretion of the hotel and may vary across properties.

Please note:

•       Any additional meals, snacks, beverages, or room service beyond the agreed meal plan must be paid directly by the guest to the hotel.

•       No refund or compensation shall be provided for meals missed due to late check-in, early check-out, sightseeing activities, or personal preference.

•       Special dietary requests are subject to hotel policy and availability, and A2Z Trip cannot guarantee the fulfilment of such requests.

Guests are encouraged to review the meal plan included in their booking prior to travel and raise any clarifications at the time of reservation.


Vehicle Arrangements


Transportation services during the tour will be provided as per the itinerary confirmed at the time of booking. The type, size, and seating capacity of the vehicle shall be arranged based on the number of guests, route, and package inclusion, and will be at the sole discretion of A2Z Trip or its authorized transport partner.

The following conditions shall apply:

•       Vehicles are not at disposal and will operate strictly as per the fixed itinerary. Requests for extended use, additional halts, or deviations from the planned route may not be entertained or may incur additional charges, payable directly by the guest.

•       Driver services are strictly provided in alignment with the tour itinerary confirmed at the time of booking. The standard operational hours for driver service are from 09:00 AM to 06:00 PM daily. Any request that falls outside of these hours, including: Early morning departures, late evening returns, prolonged waiting time; extended travel beyond scheduled hours shall be considered an additional service and may be subject to extra charges, to be paid directly by the guest to the transport provider. Approval of such requests is based on vehicle and driver availability and cannot be guaranteed in all cases.

•       A/C (air-conditioning) in vehicles is subject to proper functioning and may be turned off in hilly areas for safety or mechanical reasons.

•       The pickup and drop-off points are fixed as per the confirmed itinerary. Any request for different locations or different time for pickup or drop (e.g., different hotels, airports, stations) may attract supplementary charges, subject to approval and availability.

•       Entry to areas requiring special permits, permissions, or government authorization is governed by local laws. If a vehicle is not permitted to enter a specific zone, it shall not proceed beyond the allowed point. Guests must make alternate arrangements for access to such areas at their own expense. A2Z Trip will not be liable for these limitations.

•       A2Z Trip does not guarantee specific car models or manufacturing years. The vehicle type and model provided will be based on availability with the transport provider at the time of travel. Guests may not request a specific car make, year, or brand unless explicitly included in the package.

•       The assignment of vehicles operating on CNG or petrol is subject to availability. A2Z Trip does not commit to providing a vehicle based on fuel preference, and no compensation will be provided for the same.

•       All carrier transport (e.g., tempo traveler, minibus, coach) is subject to availability at the time of travel. Specific vehicle types are not guaranteed and may be substituted with similar alternatives.

•       Drivers provided are for transportation purposes only and may not speak the guest’s preferred language fluently. They are instructed to follow the assigned itinerary and are not authorized to act as tour guides or provide detailed route explanations

•       In case of an emergency, the driver or vehicle may need to be changed during the tour.

•       Guests are expected to maintain cleanliness and decorum while traveling in the vehicle. Any damage caused to the vehicle by the passenger will result in liability for repair costs, to be borne by the responsible guest.

•                 In some cases, private-numbered vehicles may be assigned for your tour. If you have any concerns or objections regarding the use of such vehicles, kindly inform us prior to the tour, and we'll attempt to accommodate your preferences. Please note that once a vehicle is assigned and utilized, changing it might be challenging. Therefore, if you receive your Vehicle/driver details and have concerns about the vehicle, please notify us promptly.

•       A2Z Trip shall not be responsible for any delay, breakdown, traffic conditions, road closures, or unforeseen circumstances that may affect travel time or itinerary execution.

•       Luggage space is limited based on vehicle type. Guests are advised to travel light and carry no more than one piece of standard-sized luggage per person, along with one hand-carry.

•       Additionally, in certain states, carrying luggage on vehicle roofs or using roof carriers may be prohibited. In such cases, A2Z Trip will not be held responsible.

•       Drivers may not serve as guides unless specifically stated. They are instructed to follow only the assigned itinerary and are not authorized to make decisions outside their scope.

•                 The driver provided for your tour is responsible for their own accommodations, meals, and lodging arrangements, for which they receive allowances prior to the tour. A2Z Trip and our guests are not responsible for the driver's personal arrangements, including their accommodations and meals.

•       In the event of an emergency or vehicle breakdown, A2Z Trip will make reasonable efforts to provide alternate arrangements, subject to availability. However, delays or inconvenience arising from such events will not be subject to compensation.

•       For the Gangasagar tour, the vehicle provided on Gangasagar Island (Kuchuberia) may not necessarily be the same as the one allocated for the Kolkata to Kakdwip segment of the journey.


 Additional Cost

1. Private Ferry Charges

Travel by private ferries, speedboats, or chartered vessels are not included in standard packages unless clearly specified. If required, private ferry bookings will attract additional charges payable directly or as advised at the time of booking.

2. Entry Fees and Local Guide Charges

Entry tickets to monuments, museums, parks, or tourist attractions are excluded from the base package. Fees for any local guides or mandatory escort services at specific sites are also not included, unless otherwise mentioned. These charges must be paid by the guest directly at the destination.

3. Safari and Special Activity Charges

Charges for safaris (jeep, canter, boat, or forest permit) or any wildlife/nature reserve entry fees are not part of the package, unless stated. All such activities are subject to availability, weather, and forest department rules, and must be paid for separately.

4. Fuel Price Fluctuation

Tour prices are based on current fuel rates. A2Z Trip reserves the right to adjust transport costs in the event of significant fuel price increases. Clients will be notified in advance of any changes.

5. In such cases, if the guest has not booked hotels through us and has only booked transportation, we need to know the names and locations of the hotels at the time of booking. If the guest books the hotel after confirming the transportation with us, the price of the vehicle may change depending on the hotel's location."

Note:- (For any additional services availed from A2Z Trip, such as entry tickets, permits, activities, etc., a service charge will be applicable, which will be borne by you.)

 

General Note


A2Z Trip shall inform guests of such additional costs in advance wherever applicable. All optional activities, personal expenses, and special experience add-ons are chargeable extras and not eligible for refund or adjustment.

Vehicle Details & Communication:

The vehicle registration number (private car) assigned for your tour will be shared one day prior to the tour start date, typically in the late evening. This information will be communicated through one or more of the following channels: Email (as provided at the time of booking), WhatsApp message, and SMS/Text message. Guests are requested to ensure their contact information is accurate and accessible to receive updates. Any last-minute changes to vehicle allocation due to operational reasons will also be communicated through these channels.

Dress Code for Temple Visits:

Guests are advised that certain temples and religious sites in India observe strict dress codes which must be followed to gain entry. As per traditional and local customs, the following guidelines may apply:

•       No shorts, sleeveless tops, or revealing clothing for both men and women.

•       Head coverings may be required at some temples (scarves or dupattas for women, headcloths for men).

•       Footwear must be removed before entering temple premises.

•       In some South Indian temples, men may be required to wear a dhoti, and shirts or t-shirts may not be allowed inside the sanctum area.

Entry may be denied by temple authorities for non-compliance with these norms. A2Z Trip shall not be held responsible for missed visits or entry refusals due to inappropriate attire. Guests are strongly advised to respect local customs and religious sentiments by dressing modestly and appropriately during all temple visits.

Peak Season Charges

During peak travel seasons (typically holidays, summer vacations, or special events), certain services may incur additional charges. These charges are subject to change based on demand and availability.

Peak Season Definition

Peak season refers to specific periods when travel demand is high, such as:

- Major holidays (e.g., New Year's, Diwali, Christmas)

- Summer vacations

- Special events or festivals

Additional Charges

During peak seasons, the following additional charges may apply:

- Increased transportation costs

- Higher accommodation rates

- Additional fees for popular attractions or activities

Notification

We will make reasonable efforts to notify you of any peak season charges applicable to your travel package. However, it's your responsibility to check with us or your travel agent for any additional charges before confirming your booking.

Payment

If peak season charges apply, you will be required to pay the additional amount as specified in your booking confirmation or invoice.

By booking our travel package, you acknowledge that you have read, understood, and agreed to these peak season charges.

 

  • Liability & Responsibility of A2Z Trip

At A2Z Trip, we are committed to providing you with unforgettable travel experiences. However, it's important to understand the extent of our role and your responsibilities while traveling with us:

We act as your travel coordinator, connecting you with airlines, hotels, transport companies, and local partners who deliver the actual services.

We are not liable for any unexpected issues that arise from third-party service providers, weather disruptions, political unrest, natural events, or other factors outside our control.

If there are delays, changes, or cancellations, we’ll do our best to assist you — but the financial or logistical responsibility may ultimately fall outside our scope.

You are encouraged to purchase travel insurance to protect yourself against medical emergencies, trip cancellations, and other unforeseen incidents.

Occasionally, we may need to adjust your itinerary in the interest of safety or due to changing circumstances. We’ll always inform you as early as possible and aim to offer alternative arrangements.

Thank you for understanding that travel, while exciting, also comes with shared responsibilities.
